Organising an Event

Whether it is a birthday, kids party, business event, engagement or wedding; when organizing an event, you are confronted by many decisions. 

Choosing a venue is the one decision that will have the largest impact on your event. The date of the event, catering options, and attendees’ pleasant experiences … all are partly affected by which venue you select.

Does this sound a bit intimidating? You don’t have to feel that way. Here are some guidelines about when to make decision, what to consider, and how to do better.

When to Start Looking for a Venue

The earlier the better. Once you have a good understanding of the following 3 things, you can begin your search for a venue: budget, estimated attendees, and food requirements.

Book a venue in advance.  If you are booking something as important as a wedding or engagement, book it a few months out to ensure you get the venue you want and have time to get the attendees you want!


What to Consider When Searching for a Venue

  1. Location

Make sure the location is central with lots of parking.  Most venues will have maps so get one off the venue and send it out to attendees and provide a guest list to the venue

  1. Capacity and Food and Beverage Options
  • What’s the capacity? Work out how many attendees you are aiming for and make sure the area you are booking is at the right capacity.
  • What are the F&B Options? Most venues will have a variety of options for food and beverage packs.  From platters, to grazing boxes to sit down meals. Work with the venue to ensure you get the right amount of food for your attendees Bar tabs can be a package deal or open with a cut off amount.
  1. Activities
  • Does the venue offer entertainment or workshops? These days it is all about the experience.  Ask what entertainment is on or can be organised and the workshop options for your guests.
  • Table and Chairs options? If a venue has these items, you can save a great deal of money and effort by using what they have, assuming it matches your theme and ambiance.
  • Does it have a setup/clean up crew? If you’ve found a venue which provides a setup and clean up crew, rejoice!
  • Does it have AV capabilities? Some venues have a built in audio-visual equipment for you to use, and others will require you to bring that in yourself.
  • What theme are you going for?  Most venues can assist with the theming. Discuss what theme you are looking to achieve.
  1. Layout

Even though you’ll be finding your venue early in the event planning process, you’ll still want to have a rough idea of what types of activities you’ll be including, the amenities you’ll require, and the needs of your team and the attendees.

While narrowing down your selection, get an illustrated floor plan of each venue, and walk through your favorites at least once, making note of important things such as where the outlets are and where AV equipment is or can be located.

The layout and floor plan will greatly affect a few different aspects of your event:

  1. Accessibility

Accessibility refers to the possibility that everyone, especially those with special needs, can access the building and its amenities. Before you can answer this question, you’ll need to understand who your attendees are and what their needs are.

You’ll probably know whether there will be children at your venue, but you may not know if there will be individuals with other special needs. In this situation, reviewing recent events hosted by your organization may give you a sense of this.


As you can see, there’s a lot to consider when choosing your event’s venue. Work with the Functions & Event Manager to get the perfect event you are after.



Given we are at the start of festival season, we thought those of you planning your weddings would probably be feeling fairly inspired to have a festival wedding or ‘Wedstival’.  Given we have held several Wedding Festivals at NightQuarter, we have put together some fun festival wedding essentials and inspiring ideas to help you plan the perfect festival style event!  We are using our venue as an example to show you the variety of experiences you can have that will fill a lifetime of memories.

Just imagine a day of live music, gourmet food vans, flower crown workshops and bubbly.  It is more like a fun outdoor festival event than a stuffy wedding venue.  A Wedstival is a fun experience to celebrate that special day!

We even have a grass isle leading into the main function area!


Hens nights and Bucks nights can be a fun event leading up to that special day.  You can host a gin high tea, a mock-tail and cocktail class, celebrate in The Backyard Grill for a blokes night or even host a workshop on how to make flavoured bourbon.

Creative Activities

Festivals are about having fun so organise a fun activity on the day. It can be an art class, mock-tail workshop, photo booth or even set up an Instagram slideshow. If there are kids, organise a jumping castle or cooking class.  It’s usually not a big cost, and rather than having a guest book, sign a guitar so it becomes a cool keepsake.  Be creative!


Fabulous Floral Crowns

A floral crown is a must for any festival style bride! Not only are they fun to wear but they make for a perfect weekend DIY project too.  There are specialists that can make ones for you out of imitation flowers or you can have a fresh one made up to match your bouquet.  You can even add a veil to give it a more of a traditional look. The veil can be short or long depending on the style of the dress.  Speak to your hairdresser about the best hairstyle to go with the design floral crown you are thinking.  The experience of floral crowns can be extended with a workshop on how to make them on the day with your guests to join in the festivities.

All Access Pass

Give your guests an all access pass to your big day with festival style tickets, lanyards or wristbands. You can get ones designed exactly like you would find at any of the major festivals by us or use someone on Etsy.

Rustic Signage

Creative and fun signage lets your guests know where all the festivities are taking place as well as giving that authentic festival feel.  Show off your lineup of events on a chalkboards, painted wooden signs or print onto a core flute.

Table Settings

A true festival wedding would not be complete without themed table settings.  They can be formal, theatrical, romantic or reflect your interest in organic.

International Food

Whether it is a food marquee, food truck, grazing boxes or platters of canapes, food doesn’t have to be boring for your wedding.  We can set up antipasto tables on arrival, dessert tables with cupcake towers and donut walls or even deconstrcuted taco tables.

Alternatively we can set up the NightQuarter Backyard Grill and make it a real Aussie experience.


Festivals are all about live music so make sure it is an awesome band.  Venues like NightQuarter have over 1000 bands on their database so can book someone perfect for your day.


Chill Out Area

Festival style seating is a must for your guests for them to chill out on and relax in between all the festivities or your big day. We love the use of deckchairs, cushions scattered freely or even the use of hay bales, an inexpensive decor idea that is super practical too! Spruce them up with a little fabric or some blankets to make them a little more comfortable.

Festival Decor

Let your imagination run wild with colourful, fun and interesting decor. Bunting, streamers, festoon lighting, tons of florals and rustic details look great as festival decor. Remember you can never have enough bunting!  The beauty of this at NightQuarter is that it is already up and installed at no extra cost!

Light Up The Night

No serious festival style wedding would be complete without glowsticks or sparklers!  Perfect to give to your guests for bopping the night away or for a fun exit!  You can even book a fire twirler to perform roaming amongst your guests during the night.


Drinks can be served in jars.  You can incorporate edible flowers and put together some specific cocktail menus that reflect a true festival experience.

Food and Wine Pairing

NightQuarter is passionate about the food and produce we source (most of it local) and the wine we pair with it.  Whether it is a business event, party or something as special as an engagement or wedding, it is important that the food served is matched up with the appropriate wine or cocktail.



1. Earthy dishes with mushrooms, truffles, beetroot and roasted tomato are perfect teamed with a light Pinot Noir as they complement each other

2. The deep, dark richness of a full bodied red such as the VS Cabernet Sauvignon pairs perfectly with juicy red meat such as steak, lamb cutlets, duck or strong chedder.

3. Light and zingy dressings with lime, chili and corriander on salads sit beautifully with a light and clean VS Sauvignon Blanc.  To contrast, a fish with a creamy lemon sauce contrasts with a crisp, acidic Sauvignon Blanc as it cuts through the creaminess to give a different, refreshing sensation on the palate.

4. A dry VS Rose and any hearty cheese tower are like a match made in heaven. Some whites go well with some cheeses, and others with red wine – but all will blend perfectly with a Rose so is a safer bet.  If marrying up your canapes, tapas or a chicken salad, you cant go wrong.

5. Lightly flavoured seafood dishes such as prawns or scallops are well matched with light whites such as Pinot Grigis

6. Sparkling wines and salty snacks are perfect together – sparkling’s can often have a hint of sweetness which is balanced when teamed with a salty mouthful of something tasty like smoked salmon canapes, fresh oysters and prawns.  Alternatively, if you are after a pre-dinner cocktail, the Fiji Giner Sparkling sits well on the palate.

7. Fatty fish (such as salmon) or seafood served in a thick, luscious sauce are perfect with a full bodied, buttery Signature Collection Chardonnay.

8. A red wine with a hint of spiciness eg Shiraz is good to go with heavily spiced food such as Mediterranean coated meats (cumin, paprika and the like). Think spiced lamb loin with couscous.   Cooking a roast though is better matched with a Merlot.

9. Dry Riesling and a spicy dish such as Singapore laksa or a red curry offset each other perfectly or alternatively, marry up with a Viognier.

10. A sticky Moscato served with a fruit based dessert is a great match – figs or apples do a service to this lovely drop to finish off your night.
